Practical guide

Keep scripts, captions and published videos in sync

Last materially reviewed 2026-09-24

Quick answerGive each approved release a clear version and destination record; a changed script does not update every existing copy automatically.
What to know

Choose one approved reference

Keep the factual script and its review date in a known location. Mark drafts as drafts and identify the person responsible for approval. A video project, transcript and caption file can drift apart when each becomes an independent editing surface. Record which version supplied the current release. The point is not complex software administration; it is making it possible for the next editor to tell what is authoritative.

What to know

Track the related assets

For each important scene, connect its narration, visual and caption to the release record. Include translated and reformatted variants where they exist. A changed product number may appear in all three channels and in several languages. Updating only the spoken line can leave contradictory on-screen text. Use a compact change note that identifies the affected claim and every known public destination rather than relying on a filename ending in newest.

What to know

Define review triggers

A new interface label, changed policy, revised product limit or corrected factual error can trigger a review before a calendar date arrives. Keep the trigger appropriate to the subject. A conceptual explanation may remain useful longer than a step-by-step interface recording. Do not advertise a recent review date unless the material was actually reviewed. Automatic date replacement does not establish that a video still matches the supported workflow.

What to know

A fictional update record

Release 1 explains a support deadline. Release 2 changes that deadline and updates narration, caption, closing card and the translated version. The owner verifies the actual hosted playback and records the destinations that were replaced. An archived original remains private for reference where appropriate. This is our suggested maintenance process, not a promise that Fliki or a video platform synchronizes every embed, download or external copy after an edit. Known copies must be checked explicitly.

Keep approved scripts, original assets, permission records and final outputs; a downloaded video alone may not preserve an editable project.
